Overview

Proschool.ai is an AI-powered educational platform designed to enhance the learning experience for schools, teachers and students. The platform allows teachers to create, customize, and sell courses, while students benefit from personalized, AI-driven learning pathways. Designed to enhance the management experience for schools. The objective of this case study is to evaluate the user experience (UX) of Proschool.ai, identify key areas for improvement, and provide actionable recommendations.

Problem Statement

While Proschool.ai offers a range of innovative AI-powered features, the platform faced significant challenges, particularly in the course creation module, which is one of the most critical aspects for educators. During our research, we identified several usability issues within the module. Here are some key points that highlight the problem:

1.Limited Course Creation Features: The previous version of the workboard was overly simplistic, lacking essential course creation features. It included only a chatbot for communication without any dedicated sections for tasks like lesson assignments, rubrics, or student assessments, limiting educators' ability to fully utilize the platform.

2.No Workboard Section: The absence of a structured workboard made it difficult for educators to organize, manage, and review their content in an efficient way. Basic features for lesson and assignment management were missing, leaving users with only the chatbot to work within an unstructured interface.


3.Confusion with Saving Content: Educators frequently felt uncertain about whether their work was saved. The lack of visual feedback or confirmation led to doubts, causing users to question whether the lessons and assignments they created were securely stored.

4.Content Management Issues: In the chatbot setup, finalized content often became mixed with ongoing conversations, requiring users to scroll through chat history to locate important content. This led to a poor user experience, as educators struggled to track or retrieve essential information without a clear organizational structure.

Key Findings

Through user interviews, surveys, and platform analytics, we identified the following key findings in the course creation module:

1.Lack of Essential Course Management Features: The initial workboard was too basic, lacking critical functionalities such as lesson assignment, rubric creation, and structured content management tools. This limited educators’ ability to organize their curriculum and restricted overall platform usability.

2.No Dedicated Workboard Section: Educators were forced to rely solely on the chatbot for all tasks, which created an unstructured workspace. Without a dedicated workboard, users felt disorganized and found it difficult to manage their content effectively.

3.Uncertainty in Content Saving: Many educators expressed frustration over the lack of clarity around content saving. Due to insufficient feedback, users were unsure if their work was saved, leading to repeated checks and unnecessary time spent verifying content storage.

4.Poor Content Organization within the Chatbot: Content would often become lost or buried within the chatbot interface. Educators had to scroll through chat history to locate completed lessons or assignments, leading to confusion and inefficiency in content retrieval.

5.Lack of Visibility and Control Over Finalized Content: Once content was finalized, educators had little control over its organization. The inability to clearly see which lessons were complete and which were in progress caused uncertainty about the status of their materials, making it difficult to track their teaching plans.

Design Solution

1.Dual-Sided Interface for Simplified Workflow: The left side has a chatbot where educators interact with AI to generate content, while the right side is a workboard where finalized content is saved and organized. This clear separation keeps creation and finalized materials distinct, making content easy to manage and review.

2.Structured Workboard with Dedicated Sections: The workboard is divided into Lesson, Assignment, and Rubric sections, each with its own saved content. Educators can easily switch between sections to review or edit specific materials, keeping everything organized and accessible.

3.Efficient Content Transfer and Saving: Educators can transfer AI-generated content from the chatbot to the workboard for finalization. A Save button securely stores the content, ensuring that educators have easy access to their work without worrying about losing it.

4.Smart Toggles for Personalization and Lesson Preview:
The Personalize toggle generates content tailored to students’ interests, based on their profile settings. The Lesson Preview toggle allows students to view the lesson while working on assignments, enabling features like open-book tests for more flexible learning experiences.

Design Process

1.Research and Discovery: Conducted user interviews, surveys, and competitor analysis to identify key pain points, such as lack of structure and confusion around content saving in the previous module.

2.Define and Ideate: Defined the main problems and brainstormed solutions, leading to the concept of a dual-sided interface with dedicated sections for lessons, assignments, and rubrics, plus personalization and lesson preview toggles.

3.Wireframing and Prototyping: Created low-fidelity wireframes to outline the new layout, followed by high-fidelity interactive prototypes to test the new features and ensure they met user needs.

4.User Testing and Iteration: Conducted usability testing to validate the design, then refined based on feedback, improving elements like the Save button visibility and clarifying toggle functions.

5.Finalization and Implementation: Finalized UI design and provided detailed specs to the development team for implementation, ensuring a smooth transition to the improved course creation module.

Conclusion

The redesigned course creation module significantly improves the educator experience on Proschool.ai. By introducing a structured workboard, clear saving options, and personalized content features, educators can now create and manage courses more efficiently. This structured approach led to higher satisfaction, making course creation on Proschool.ai intuitive, organized, and effective.
